Is my clients’ information sent to the cloud?

Accepted Answer

Olive Grove does its work on your computer: recording, transcription and note drafting run there, with its AI. Backups and other content you choose to keep online, such as form answers, are locked on your computer before they are sent, with a key only you hold, so we cannot read them. Online features such as booking, reminders and payments use only the information they need to work, as listed on Your data. The few things the app does send, such as the licence check and the update check, are listed on the Where the data goes page, with exactly what each one carries.

Does it replace my clinical judgement?

No. It suggests, and you decide. Every note is a draft for you to read, correct and sign, and nothing is signed without you. Live cues are prompts for you to put in your own words, or to ignore. Risk watch and the safety check point at what may need a look; what to do about it stays with you, under your own professional standards.

Does it work for telehealth?

Yes. It records your microphone and, for a video call, what the computer plays, so both sides of the call are transcribed. In-Session Assist can float in a small window that stays on top of the call. It also has a video room of its own: one permanent link, a waiting room in the client’s browser where they agree to the video session and choose whether to agree to recording, and you choose who comes in. The call goes directly between the two devices, encrypted.

Which approaches does it support?

33 approaches and 5 stances. They range from CBT, DBT, ACT and EMDR to Emotion-Focused and Emotionally Focused Therapy, the Gottman Method, IFS, narrative therapy, motivational interviewing and solution-focused brief therapy. Question 5

Can I try it without real clients?

Accepted Answer

Yes. The practice file is a made-up client with three past sessions and their notes, a treatment plan, questionnaires taken twice, a consent and a booking next week, so you can open every part of the app on day one. It is never billed, and Remove the practice file takes it out with everything in it; your own clients are not touched. Practice, under Growth, also has thirty fictional cases to rehearse a session with, by voice or typing.

Is there a Mac version?

Olive Grove for Mac is in development, built for Apple silicon. Join the waiting list and we will tell you as soon as it is ready. Today it runs on Windows 10 or 11, 64-bit.

Question 7

How do I get Olive Grove?

Accepted Answer

It is invitation only for now. Join the waiting list on the Get started page with your name and email, and you get a confirmation straight away. We are opening it to a small number of clinicians at a time, and we email you when a place opens for you. Once invited, you download it from your account page and activate it from Settings, Licence by approving the code it shows in your browser.

What happens if I do not subscribe?

Olive Grove becomes a read-only archive. You can still open, read, search, print and export every record, and restore backups, and your records are never held back. Recording, transcription, writing notes, the calendar, billing and the online services wait for a subscription.

Question 9

How many computers does a subscription cover?

Accepted Answer

Two at a time. To use a third, choose Deactivate this computer on one of the others, or remove it from your account page, and its seat is free straight away. The licence on each computer lasts 35 days and renews itself while online, so a week or two without internet is fine; a warning appears in the last 7 days. A clinic without internet can use a signed licence file instead.

How do updates work?

A minute after it opens, and every few hours while it is open, the app asks canadatherapy.ca whether there is a newer version, sending only its version number. When there is, “Update available” appears in the footer. Update now downloads it, checks its SHA-256 against the value published here, installs it and reopens the app on the same records. It never updates during a recording, and a download that fails the check is deleted.

How do I move to a new computer?

The AI models are downloaded again on the new computer. 1. On the old computer, open Settings, Privacy and security, Backups, and under Transfer to another computer choose Make a transfer file. 2. Choose Records only (fast: notes, transcripts, documents, measures, settings, billing and the licence, but not the recordings) or Everything (every recording and video as well), and set a password of at least 8 characters. The file is encrypted with it. 3. Install Olive Grove on the new computer and choose “I have records from another computer” on the first screen, or later in Settings, Privacy and security, Backups. Open the file and enter the password. 4. A summary compares the counts on both computers. The licence comes across with your records: when the new computer is online, the old computer’s seat is freed and the new one is licensed. If it asks, finish by approving a code in your browser (Settings, Licence, Activate Olive Grove).

Which languages does it work in?

It works in French and in English: the interface, the notes, the transcription and the client’s waiting room. The app itself is in 11 languages. It transcribes about 100, or detects the language itself, and can keep what was said as spoken or translate it to English as it goes. “English and French (switches)” suits sessions that move between the two. Notes and suggestions can be written in a language of their own. The full lists are under Specifications, on the Get started page.

What computer do I need?

Windows 10 or 11, 64-bit, a microphone, and room on the disk for the models. The notes model is chosen by memory: under 8 GB gets the smallest (Qwen 3.5 2B, which may be slow), 8 GB up to under 20 GB gets Qwen 3.5 4B, and 20 GB or more gets Qwen 3.5 9B. A graphics card is not required. An NVIDIA card makes transcription and notes faster; AMD Radeon and Intel Arc cards are used for the notes AI. Set up this computer shows what yours will get before anything downloads.

Do I need my client’s consent?

Accepted Answer

Yes. Recording a session needs your client’s informed consent. The app has a plain-language consent form you can print or export, records consent on the client’s file with the date, reminds you when it is due for review, and includes a script you can read out. Starting a session does not check consent for you.

Where do I get help?

Accepted Answer

In the app, press F1: Help lists every feature with a Show me link, and answers common questions. Help, Report a problem sends us what went wrong, with every client’s name, email addresses and numbers taken out first, and shows you exactly what will be sent before anything goes. Without a connection, copy the report into an email to support@olivegrove.app. Help, Open log folder gives you the logs to attach; they record what the app did, not what clients said.
