    Before and during a session

Before a client arrives, the app lays out your day and what to pick up from last time. Once you start, it transcribes what is said, a few seconds behind, and offers short cues from the approach you are using when you want one. You stay with your client; the app keeps up.

The Record page during a session with a fictional client: the recording time at the top, the live transcript panel, and In-Session Assist beside it with short cues from the approach in use.

    Before a session

Open the app and your day is already laid out: who is coming, what is due, and what to pick up from last time.

    • Today. The appointment on now or next, today’s schedule, what you still owe and clients to think about.
    • Since last session. When you last met, homework to ask about, open goals, latest scores and risk prompts, read from the record without AI.
    • Measures for today. What to give this client today: a core set at assessment, plus screens triggered by what they have said.
    • Session language. About 100 languages or Auto-detect, kept as spoken or translated to English as it transcribes.
    • Your video room. One permanent link, a waiting room in the client’s browser, and you choose who comes in.
    • Reminders to clients. A reminder already written for each booked client, opened in your own email program, one at a time or all at once.

    Today page
The landing page greets you and shows your day: the appointment happening now or next, today's schedule (clients by their initials), what is waiting for you, clients to think about, risk flags, recent sessions and the coming week.
    Oliver's panel
Click Oliver at the foot of the menu, or press Ctrl+J, and his panel slides out: Waiting for you, the same items as on Today, each with Open (or Log it) and Not now; and Ask Oliver, a question for Consult, with Talk with Oliver.
    Ask Oliver
Oliver at the foot of the left menu, marked AI assistant, with a line on what he is doing: ready, how many things wait for you, writing a session note, or listening. It never names a client. Click it or press Ctrl+J for his panel.
    Resources
Our sites, tools and guides in one place: your account, the help centre, guides, what's new, service status and support, plus resources for your region. Each opens in your browser.
    Now and Next card
Shows the appointment on now, or the next one, with the session type, the state of the last note, any measures due, and one button to start recording.
    Today's schedule
Today's bookings, each marked documented, no-show, now, next or not recorded, with buttons to start the session, open the file or log it.
    Records protection strip
A line at the top of Today, shown only when something needs fixing: a failed or missing backup, sign-in off, notes waiting for a signature, or setup unfinished.
    Clients to think about
Clients who may need a clinical decision, such as a risk flag with no session since, open goals with no recent session, scores not moving, or no plan.
    Arrange the Today cards
Drag a Today card up or down its column, fold it to its title, or open its list in a large window. The layout is remembered.
    The bell
A count in the header that lists what is waiting for you: today's appointments, notes to write and sign, measures due, invoices to follow up, sessions to invoice, setup, subscription and updates.
    Desktop notifications
Windows notifications before each appointment (with any measure due), each morning, at the end of the day for notes to write, and weekly for unsigned notes, invoices to follow up, an old backup and unfinished setup.
Choose the client for a session
Pick who the session is for at the top of Record. Their playbook, brief and kept suggestions load, and the previous client's material is cleared from the screen.
    Note format before the session
Choose the note format for this session, or leave it on Automatic so it follows who is in the room.
    Others expected in the room
A link under the setup bar that says how many people beyond the chart are expected, so the right number of voices is separated. Click it to change.
    Since last session brief
A brief read straight from the record: when you last met, homework to ask about, what you planned, open goals, latest scores, measures due, how the last session ran and risk prompts.
    Homework follow-up
Homework set in a note's plan is stored, and the next session asks "Did they do it?". Your answer goes into that session's note.
    Suggested measures for this client
Suggests what to give today: a core set at a first assessment, up to 3 screens triggered by what the client has said, and the Session Check at the end.
    Microphone and system audio
Pick any Windows microphone and choose whether to also record what the computer plays, the other side of a video call.
    Microphone check
The first time a microphone is used after the app opens, a short window shows a level bar so you can see it hears you before recording.
    Session language
Choose the language spoken in the session, Auto-detect, or a "→ English" option that translates to English as it transcribes.
French and English with automatic switching
The language list adds "French" and "English and French (switches)", and Auto-detect switches language automatically when the speakers change language.
    Video source
Optionally record video with the audio, from a screen area you drag out (such as the call window) or a webcam.
    Recording options fold
The microphone, language, call audio, live suggestions and video rows fold to one summary line.
    Same client check
Pressing Start while the last session's client is still selected asks whether this is another session for them, so the next client is not recorded into the wrong chart.
    Online booking
Clients book themselves on your own page, inside your working hours. They get a confirmation and reminders by email, and can change or cancel until the time you set. Bookings appear in your calendar.
Card on file and missed-appointment fees
Clients who book online can save a card on your own Stripe page to hold the booking. After a no-show or late cancellation you charge the service's fee once you confirm; it is filed in Billing as a paid invoice.
    Automatic reminders
Clients with an email address get your reminder automatically the day before, 2 hours before, or both, written from your own reminder wording. Covers appointments booked in the app or synced from your calendar.
    Calendar feed for your phone
Your appointments in your phone's own calendar, or Google or Outlook, from a private address you subscribe to. Each event says only what you choose: initials and service, the service only, or just "Appointment". Updated within minutes while the app is open.
    Client forms
Clients fill in your intake questions, sign your consent form and answer the PHQ-9 or GAD-7 online before their first session. Answers land in their file: the intake as a document, the consent as a signed record, questionnaires as scored measures.
    Secure messages from clients
Clients write to you from their own page, the link in their booking emails. Each message is sealed on their device for this computer, lands in their client file as a document marked unread, and you reply by email.
    Video room
One permanent link for your clients' video sessions. Set the room name and the name clients see, copy the link, change it, or open the room.
    Client waiting room
Clients open your link in any browser, check camera and microphone, type their name, agree to the video session, choose whether they agree to recording, and wait.
    Someone is asking to join
A strip at the top of the window names who is waiting, the client it probably is from today's calendar, and whether they agreed to recording. Let them in, turn them away or send a message.
    Appointment reminders to clients
A day's booked clients, each with a reminder already written, ready to open in your own email program or copy for a text message, one at a time or all at once.
    Reminders by text or WhatsApp
Text a booked client their reminder, or send it by WhatsApp, from your own phone apps. The same wording as the email reminder, written for you, to the number on the client's file; you press Send. Each one is noted in the client's activity.
    Unencrypted disk warning
Before recording on a computer whose disk is known to be unencrypted, the app warns you and lets you go ahead or cancel.

    During a session

You stay with your client. The transcript writes itself, and a short cue is there the moment you want one.

    • Live transcript. Line by line with the time and the speaker’s name, a few seconds after speech.
    • Voices. A button above the transcript lists every voice heard, who the app thinks it is and how sure it is. Correct one at any time; it asks only about a voice it cannot place.
    • Live cues. In-Session Assist offers two or three short cues at a time (Explore, Reflect, Notice, Validate or Try) drawn from how the approach you are using is practised and where the session is in it. You put them in your own words; Say it shows one way.
    • Useful or not. Mark a cue Useful or Not useful with one tap, and over the weeks the cards learn what helps you. The marks are kept on your computer.
    • Ask. Type a question, privately, or tap one of six ready ones, such as “What am I missing?” or “Risk check”.
    • Tools that fill themselves in. Start a thought record or a safety plan and it fills from what is said. What you type stays as you wrote it.
    • Risk watch. Phrases about suicide, self-harm, harm to others, abuse or overdose raise a banner with the quote, without AI. What to do with it stays your judgement.
    • In the room or online. Any microphone, and for a video call, what the computer plays as well. In-Session Assist can float in a small window that stays on top of the call.
    • Session Guide. Stages for individual, couples (EFT and Gottman) and family work, with scripts to read out.

All 39 features in this part

    Start a session
Start recording and live transcription for the chosen client, from Record, Today, the Calendar, the bell or the New button.
    Privacy view
If a client can see the screen, one press hides everything clinical: the window shows only the time, a still tree and how to return. Recording carries on.
    Live transcript
The transcript appears a few seconds after speech, line by line with time and the speaker's name once their voice is recognised, marked "live estimate" until you say who it is, while In-Session Assist works beside it.
Who is this? A new voice
When an unknown voice has taken part for 20 seconds or more, a quiet strip above the live transcript asks who it is: one press for the people on the session or you; the rest under More.
    Voices button
Above the live transcript, Voices lists every voice heard so far with the name the app has put on it, whether it is recognised, a best guess or named by you, and how long it has spoken. Choose one to correct it at any time.
    Transcript phantom-phrase guard
Repeated phantom phrases such as "Bye." or "Thank you." that speech recognition can invent over silence are dropped from the live transcript.
    Low microphone hint
When the microphone is picking up very little sound, the footer says "Microphone level is very low".
    Pause and resume
Stop capture and transcription for a moment and carry on later. Paused time is left out of the recording, transcript, video and session length.
    End session
Stop recording after a confirmation. The quick note and any open tool are saved, and the accurate transcript and the note start in the background.
    In-Session Assist suggestions
A card that holds the formulation, the goals, the last session's plan and a running map of the session: the approach, where the conversation is heading, and two or three cues that deepen, link or move it on, written from how the approach is practised.
Suggestions that say what to do
Every live suggestion starts with what to do, then one short line: Ask, Reflect, Explore, Validate, Normalise, Summarise or Try. A Safety check stands apart, with its own sign and colour. The same in a session and in Practice.
    Cues instead of scripts
The card offers the move, not words to read out: Explore, Reflect, Notice, Validate or Try, then a few words naming the client's own material, for you to phrase. Say it shows one way to put it. Each cue follows how the approach is practised.
    Useful or not, one tap
Mark any cue Useful or Not useful with one tap. The next cards learn what you find worth a glance, over the weeks, and the marks stay on the card so you can see what you said.
    Customize the live suggestions
Choose the card's layout, how many questions and interventions it shows, whether to show a skill or the reason, how often it refreshes, and whether it waits while you read.
    Turn live suggestions off
Switch the live suggestions off for a session, or for good, without affecting the recording, transcript or note. The playbook, Tools and Ask keep working.
    Pin a suggestion
Keep any suggestion, guide question or tool on screen with its pin. Later suggestions build on what is pinned, and pins come back at the client's next session.
    Ask In-Session Assist
Type a question and get a short answer from the last few minutes, the client's playbook and plan, with six one-tap questions for when there is no time to type.
    Session focus
A standing steer for the rest of the session, such as "stay on the grief", that shapes every suggestion and Ask answer.
    Playbook beside the transcript
The client's ranked interventions as a short list. Open one for its rationale, steps, words to say, what to watch for and cautions.
    Techniques
Ready-to-run techniques with steps and words to say, tagged by approach, with the ones that fit the loaded client listed first.
    Tools that fill themselves in
Start a technique as a worksheet. The AI fills each line from what is said and shows the next question to ask; what you type stays as you wrote it.
Copy a worksheet for the client
Copy a finished worksheet, such as a safety plan, to paste into an email. Lines the AI filled that you have not checked must be confirmed first.
    Session Guide
What to ask at each stage of individual, couples or family work, opened on the stage the client is probably at, with scripts to read out.
    Scripts to read out
Short plain-language scripts for consent to record, confidentiality, the couples secrets policy, confidentiality in family work, child protection, and what to say if violence is disclosed.
    Questionnaires in the session
Every measure the app can give, with the client's last score and how long ago, recommended ones first, and "Give now" to administer one.
    Quick note
Jot anything to remember during the session. It is saved to the session's My notes when it ends.
    Float In-Session Assist
Lift In-Session Assist into a small always-on-top window that sits over a video call, with a clock, pause, end, see-through and shrink-to-pill buttons.
    Risk watch
Phrases about suicide, self-harm, harm to others, abuse or overdose in a client's line raise a red banner with the quote and time, without using AI.
    Panel text size
Make the transcript or the assist text larger or smaller, each panel on its own.
    Forgotten session ends itself
When nobody has spoken for a while, you are asked on screen and by a desktop notification, and the session ends two minutes later unless you keep recording.
    Microphone or call audio stopped
If the microphone sends nothing for 15 seconds, or the call audio stream stops, a warning stays on screen and a desktop notification is sent.
Sleep and crashes during a session
The transcript and quick note are saved every 20 seconds, time the computer slept is left out, and an interrupted session is written up at the next start.
    Closing the app while recording
Closing the window during a session asks first, and Windows sign-out, shutdown or an update ends the session properly instead of cutting it off.
    Video recording
Records the chosen screen area or webcam as an MP4 during the session; the session's sound is added once the transcript is made.
    Video session window
The live call: a tile for each person let in, your own preview, mute and camera buttons, who is in the room, and the waiting strip for late arrivals.
    Lock the video room
Stop anyone new from asking to join your room.
    Record a video room session
After letting someone in, you are asked whether to record, with whether they ticked recording on the join page; yes turns on system audio and starts the session for the matched client.
What is running, in the footer
Everything that takes a while shows in the footer with what it is doing, who it is for and a progress bar: reports, letters, notes, formulations, transcription, speakers, checks, exports, imports, transfers, downloads, updates and backups, without freezing the window.
    Machine load indicator
A dot and a word in the footer say whether the computer is coping, with memory, graphics card and processor use in the tooltip.
