Your information: what is kept, and who sees it
Checked against the app on 24 October 2026
Your practitioner uses Olive Grove to keep their records on their own computer. Booking, reminders, forms and the video room pass through an online service that holds as little as possible, nothing clinical in a form it can read, and deletes it when it is no longer needed.
| What | What the online service holds |
|---|---|
| Your booking | Your name, email, phone if you gave one, the time and the service. Nothing clinical. |
| Reminders | For the next three days only: the appointment time, your email and the reminder text. Removed once the appointment has started. |
| Forms | Your name and email to send the link, and your answers sealed on your device, which the service cannot read. Deleted once your practitioner’s computer has filed them. |
| Video sessions | Only what is needed to connect you: the name you type and your consent choices. Names are blanked 2 minutes after the visit and visit records removed after 12 hours. Never the video or sound. |
What your practitioner keeps
Your file, session notes, and any recording or transcript are kept on your practitioner’s own computer, and the AI that helps write notes runs there. They are not sent to an online AI service. Your practitioner decides what is recorded and how long records are kept, and remains responsible for them.
- A session is recorded only if your practitioner chooses to, and they should ask for your consent first. You can say no, or withdraw your consent later.
- For a copy of your record, a correction, or any question about how your information is handled, ask your practitioner. They hold your record; we do not.
The full list of what the app sends, and where the service is hosted, is on the privacy page and the security page.
